Front Desk Receptionist

Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Safeguarding sensitive and private information is a core part of your job duties and is essential to maintaining the safety, dignity, and trust of the company.
  • Performs assigned front desk and administrative responsibilities while also assisting the Office Manager with daily operational tasks and additional duties as needed to ensure smooth and efficient office operations.
  • Greet visitors warmly, verify appointments, and direct them appropriately to ensure a seamless check-in process.
  • Manage phone calls with professionalism, answering inquiries promptly and routing calls efficiently.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages, maintaining accurate records.
  • Maintain organized filing systems, perform data entry tasks, and ensure all documents are properly proofread and stored.
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
  • Assist with clerical duties including typing reports, updating databases using Microsoft Office and Google Workspace tools, and managing office supplies inventory.
  • Provide excellent customer service by addressing inquiries with patience and clarity while maintaining proper phone etiquette.

Experience

  • Proven office experience or administrative support roles demonstrating strong organizational skills and computer literacy.
  • Familiarity with front desk operations, multi-line phone systems, data entry, filing procedures, and basic bookkeeping practices
  • Previous experience in medical roles is advantageous but NOT required; a background in customer support or personal assistant work is beneficial.
  • Demonstrated ability to manage time efficiently while handling multiple responsibilities in a fast-paced environment.
  • Strong typing skills combined with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and general computer skills are essential.
