Receptionist / Administrative Assistant

Location: Dubai, UAE

Salary: AED 3,000 per month

About MCM Conscious Mental Wellness

MCM Conscious Mental Wellness is a psychology and counseling center dedicated to providing high-quality mental health services in a compassionate and professional environment. We are looking for a friendly, organized, and proactive Receptionist / Administrative Assistant to join our team.

Key Responsibilities

Front Desk & Client Experience

* Welcome clients and visitors in a warm and professional manner.

* Answer incoming phone calls, WhatsApp messages, emails, and inquiries.

* Schedule, confirm, reschedule, and cancel appointments.

* Provide information regarding services, psychologists, pricing, and procedures.

* Follow up with potential and existing clients when required.

* Maintain a positive and professional first impression of the center.

Administrative Duties

* Manage daily appointment schedules and calendars.

* Maintain accurate client records and documentation.

* Assist with registration forms and onboarding of new clients.

* Organize and update files, spreadsheets, and internal documents.

* Prepare reports and perform data entry as required.

* Support psychologists and management with administrative tasks.

Payments & Operations

* Process client payments and issue receipts.

* Track payments and maintain accurate records.

* Coordinate with the accounting team when required.

* Assist with daily operational activities to ensure smooth clinic functioning.

Communication & Coordination

* Coordinate with psychologists regarding schedules and appointments.

* Respond to inquiries professionally and promptly.

* Maintain confidentiality of all client information.

* Communicate effectively with clients, colleagues, and external partners.

Requirements

* Own valid UAE visa.

* Previous experience in reception, administration, customer service, or a similar role is preferred.

* Excellent communication skills in English.

* Strong organizational and multitasking abilities.

* Professional appearance and demeanor.

* Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace.

* Comfortable using CRM systems and scheduling software.

* Ability to work independently and as part of a team.

* High level of confidentiality and professionalism.
