Front Desk Receptionist / Administrative Assistant (On-Site M-F)

Role Description

We are seeking a reliable, organized, and polished Administrative Assistant / Front Desk Receptionist to join our team. This role is the face and first point of contact for our practice. We are looking for someone who is warm, professional, detail-oriented, and comfortable managing multiple administrative tasks in a clinical environment.


Role Overview

This is a full-time, on-site position, 5 days per week (exact hours TBD; will likely be 9am-6pm). The Front Desk Receptionist plays a critical role in ensuring smooth daily operations, supporting patients, and maintaining an organized and welcoming office environment.


Responsibilities

  • Greet patients and visitors in person and assist walk-ins
  • Answer incoming phone calls and assist patients professionally and efficiently
  • Schedule, reschedule, and confirm appointments
  • Respond to patient inquiries via phone, email, and messaging systems
  • Perform accurate data entry and maintain patient records
  • Assist with general administrative tasks and office organization
  • Coordinate with clinical staff to support daily workflow
  • Maintain a calm, friendly, and professional front desk presence at all times


Qualifications

  • Prior experience in an administrative assistant, receptionist, or front desk role (healthcare experience preferred but not required) OR
  • Prior experience in customer-service or service industry role
  • Exceptional customer service skills to create a welcoming and supportive environment for patients
  • Strong Phone Etiquette and interpersonal communication skills
  • Excellent organizational skills and attention to detail
  • Comfortable handling multiple tasks simultaneously
  • Ability to complete clerical duties such as management of schedules, documentation, and organizational support
  • Professional demeanor with a patient-first mindset
  • Basic computer proficiency and ability to learn new systems
  • Reliable, punctual, and able to work on-site five days per week

  • Location: Midtown Manhattan, NYC
  • Compensation: $20-30/hour, based on experience
