Overview
We are seeking a dynamic and organized Front Desk Receptionist and Administrative Assistant to join our team! Duties
- Greet visitors warmly, answer multi-line phone systems with professionalism, and direct calls accurately using excellent phone etiquette
- Manage front desk operations, including handling incoming inquiries, scheduling appointments, and maintaining visitor logs
- Perform data entry and filing to organize client records, correspondence, and office documents efficiently
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, proofreading, and communication
- Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments for staff or executives
- Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer support by addressing inquiries promptly and professionally, ensuring customer satisfaction at all times
Experience
- Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proven ability to manage multi-line phone systems and handle high-volume customer interactions with professionalism
- Bilingual skills are highly desirable to serve diverse clients and visitors effectively
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), data entry, and proofreading skills
- Experience in medical or dental receptionist roles is a plus, especially familiarity with calendar management in healthcare settings
- Personal assistant or office management experience that showcases excellent time management skills and the ability to prioritize tasks effectively
- Knowledge of bookkeeping procedures using QuickBooks or similar software is advantageous
