We are seeking a dynamic and organized Front Desk Receptionist and Administrative Assistant to be the welcoming face and efficient support system of our office. Responsibilities
- Greet visitors warmly, direct them appropriately, and maintain a professional reception area
- Answer, screen, and route incoming calls using multi-line phone systems with excellent phone etiquette
- Manage calendar appointments, schedule meetings, and coordinate conference room bookings
- Perform data entry, filing, photocopying, and proofreading to ensure accurate record-keeping
- Assist with office management tasks such as ordering supplies, maintaining inventory, and organizing files
- Support customer service efforts by responding promptly to inquiries via phone or email
- Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and QuickBooks for bookkeeping and record management
- Handle clerical duties including typing correspondence, managing mail distribution, and supporting personal assistant functions as needed
- Maintain organization of documents through filing systems and ensure timely follow-up on pending tasks
- Support bookkeeping activities by managing invoices, receipts, and basic data entry for financial records
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills
- Proven ability to manage multi-line phone systems with professionalism and courtesy
- Bilingual proficiency is highly desirable to effectively communicate with diverse clients and visitors
- Experience in customer service or customer support environments emphasizing excellent communication skills
- Familiarity with office management software such as Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and QuickBooks preferred
- Clerical experience including data entry, proofreading, filing, and calendar management is advantageous
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting
- Personal assistant or executive support experience is a plus but not required
