Job Summary
The Office and Returns Reconciliation Coordinator is responsible for ensuring accuracy and accountability in the daily reconciliation of product returns by matching physical paperwork, scanned documents, and system entries. In addition, this position performs front-office reception duties, including greeting visitors, answering incoming calls, and managing incoming and outgoing mail and packages to maintain smooth office operations.
Key Responsibilities:
Returns Reconciliation
- Review, verify, and reconcile daily product return paperwork against system data and scanned records.
- Identify and resolve discrepancies between physical documents and digital entries.
- Collaborate with warehouse and accounting teams to ensure all return transactions are properly recorded and closed in the system.
- Maintain organized files and documentation for audits and internal reporting.
- Generate daily or weekly reconciliation summaries as required.
Reception and Administrative Support
- Serve as the first point of contact for visitors and incoming calls; direct inquiries to appropriate personnel with professionalism and courtesy.
- Maintain front desk and lobby areas in a clean and organized manner.
- Support administrative functions including document scanning, filing, and data entry as needed.
Mail and Package Management
- Receive, log, and distribute incoming mail and packages to designated departments.
- Communicate with carriers (UPS, FedEx, USPS, etc.) regarding deliveries and pickups.
- Other duties as assigned
Qualifications & Requirements:
- High school diploma or equivalent required; Associate’s degree in Business Administration or related field preferred.
- 2+ years of administrative, accounting, or inventory reconciliation experience preferred.
- Strong attention to detail, accuracy, and organization.
- Proficient in Microsoft Office (Excel, Outlook, Word) and data management systems.
- Excellent written and verbal communication skills.
- Ability to multitask in a fast-paced office environment while maintaining professionalism.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Walking to transport packages and mail between buildings, regardless of weather.
- Occasional lifting of packages or boxes up to 50 lbs.
Work Environment
- Office-based with regular interaction with warehouse and operations staff.
- Standard business hours, Monday through Friday; occasional flexibility may be required during peak periods.

Pay: $15.00 - $16.00 per hour
