Job Overview

SwiftHub is looking for a professional and customer-oriented Receptionist / Customer Service Coordinator to join our team.

The role combines front desk management, customer service, administrative coordination, and basic cash handling responsibilities. The ideal candidate must have previous experience working in companies similar to business setup, corporate services, consultancy, PRO, or business centre environments in the UAE.

Key Responsibilities

  • Reception & Administration
  • Welcome clients and visitors professionally
  • Manage incoming calls, WhatsApp communication, and inquiries
  • Schedule appointments and coordinate meetings
  • Maintain organised client records and office documentation
  • Handle daily office administrative tasks and support operations

Customer Service

  • Assist clients with general information regarding company services
  • Follow up with clients regarding documents, payments, and appointments
  • Coordinate with sales and operations teams to ensure a smooth customer experience
  • Handle customer concerns professionally and efficiently
  • Cash Handling & Basic Accounting Support
  • Receive payments directly from clients visiting the office
  • Issue receipts and maintain accurate transaction records
  • Support basic invoicing and payment tracking
  • Coordinate collected payments with the finance department

Mandatory Requirements

  • Previous experience in Reception, Customer Service, or Administration
  • Must have prior experience working with UAE business setup companies, corporate service providers, business centres, PRO services, consultancy firms, or similar industries
  • Strong English communication skills (Arabic is a plus)
  • Professional appearance and communication style
  • Strong organisational and multitasking abilities
  • Comfortable handling cash payments and basic financial records
  • Good knowledge of Microsoft Office and WhatsApp Business

Preferred Skills

  • Experience dealing directly with UAE clients and company formation processes
  • Familiarity with CRM systems or accounting software
  • Ability to work in a fast-paced environment
