Front Desk Receptionist (Part-Time) – Med Spa

Overview
We are a growing, results-driven med spa focused on client care, professionalism, and a positive team environment. Our front desk team plays a critical role in the client experience — from first contact to follow-up — and is the heartbeat of our daily operations.

We are looking for a reliable, proactive, and personable Front Desk Receptionist who takes pride in being the face of the spa and supporting both clients and providers.

Key Responsibilities

  • Greet clients warmly and professionally, in person and over the phone
  • Manage appointment scheduling, confirmations, rescheduling, and cancellations
  • Maintain accurate client records and manage client flow throughout the day
  • Communicate confidently with clients regarding services, promotions, and memberships
  • Follow up with clients via phone/text/email (including reactivation outreach to clients who haven’t visited recently)
  • Support sales by confidently discussing services, packages, and promotions
  • Proactively complete tasks during downtime (reports, client outreach, organization, prep work)
  • Maintain front desk organization, cleanliness, and daily opening/closing checklists
  • Support providers and team members as needed to keep the spa running smoothly
  • Uphold spa standards, professionalism, and client confidentiality at all times

What We’re Looking For

  • Punctual and dependable — showing up on time and ready to work is non-negotiable
  • Friendly, confident, and professional demeanor
  • Strong phone etiquette and communication skills
  • Comfortable with sales, client outreach, and follow-up calls
  • Experience with client management, scheduling systems, or customer service (spa, medical, or wellness experience is a plus)
  • Ability to multitask and stay organized in a fast-paced environment
  • A true team player who supports staff while also working independently
  • Self-starter mentality — able to identify what needs to be done without waiting to be told
  • Positive attitude, enthusiastic, and solution-oriented

Preferred Qualifications (Not Required)

  • Experience in a med spa, spa, medical office, or wellness setting
  • Familiarity with booking software (Vagaro, Square, etc.)
  • Sales or client retention experience
