Job Title: Real Estate Secretary
Job Description:
We are seeking an experienced and organized secretary to join our real estate office. The ideal candidate will have a background in customer service, administrative support, and a strong understanding of real estate operations. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to real estate agents and office staff.
- Manage daily office operations, including answering phone calls, responding to emails, and assisting clients with inquiries.
- Handle scheduling, bill payments, and other administrative tasks.
- Prepare, organize, and maintain files for sales, purchases, and rental transactions.
- Handle rental applications and lease agreements, ensuring all necessary documentation is complete and accurate.
- Post listings for sales, rentals, and purchases on social media and real estate platforms.
- Create and manage social media content on platforms like Instagram and TikTok to promote listings and enhance brand visibility.
- Use MLS (Multiple Listing Service) to research and find property listings.
- Assist realtors with client communication, scheduling, and follow-ups.
- Draft and format documents using Microsoft Word and Excel.
- Archive and maintain a filing system for property transactions and office records.
Qualifications:
- Minimum 2 years of experience as a secretary or in a customer service role, preferably in the real estate industry.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with real estate platforms, rental applications, and MLS systems is a plus.
- Strong knowledge of social media platforms and content creation, especially Instagram and TikTok.
- Excellent organizational and multitasking skills.
- Exceptional written and verbal communication skills in English and Spanish (preferred).
- Ability to work independently and as part of a team in a fast-paced environment.
