Front Desk Receptionist/Office Assistant

Job Overview
We are seeking a dedicated and professional Front Desk Receptionist/Office Assistant to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting various administrative functions to ensure smooth office workflow. The successful applicant will demonstrate proficiency in office management tools, multitasking, and maintaining a positive environment for clients and staff alike.

Long Hours Required (4 x 10hr days, typically 9am - 7pm)

Duties

  • Greet patients warmly, ensuring a professional and friendly first impression.
  • Operate multi-line phone systems efficiently, directing calls and taking accurate messages.
  • Manage appointment scheduling and calendar coordination using digital tools.
  • Handle data entry tasks with precision, including filing, record keeping, and updating client or patient information.
  • Support office management activities such as supply inventory, filing systems, and document proofreading.
  • Provide customer support by addressing inquiries promptly and professionally across various communication channels.
  • Assist with bookkeeping tasks using QuickBooks or similar software to maintain accurate financial records.
  • Maintain an organized reception area, ensuring cleanliness and readiness at all times.
  • Perform clerical duties including typing correspondence, preparing reports, and managing mail distribution.
  • Support special projects or administrative tasks as needed to enhance office efficiency.

Experience

  • Previous experience in a clinic environment or administrative role is required, ideally within a medical setting for specialized knowledge of healthcare reception procedures.
  • Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Excellent phone etiquette and customer service skills to foster positive interactions with clients and staff.
  • Bilingual abilities are highly desirable to serve diverse populations effectively.
  • Clerical experience involving data entry, filing, proofreading, and document management is essential.
  • Knowledge of office management practices such as calendar management, bookkeeping, and personal assistant duties is advantageous.

Pay: $45,760.00 - $54,080.00 per year
