Front Desk Receptionist/Office Assistant

Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with accuracy and promptness
  • Perform data entry tasks using Microsoft Office and Google Workspace applications to maintain accurate records
  • Organize and file documents systematically to support office operations and compliance standards
  • Assist with calendar management, scheduling appointments, meetings, and reminders for staff or clients
  • Support office management tasks such as ordering supplies, maintaining inventory, and coordinating mail distribution
  • Maintain a clean and organized front desk area to promote a professional environment
  • Offer exceptional customer support by addressing inquiries efficiently and courteously
  • Help with collecting copays and deductible. registering new patient check in process.
  • Scheduling appointments and in office procedure.

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
  • Prior experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Familiarity with office management software such as QuickBooks for bookkeeping purposes is preferred
  • Demonstrated ability to handle multiple tasks efficiently while maintaining professionalism under pressure
  • Previous experience as a receptionist or medical/dental receptionist is advantageous but not required
  • Personal assistant or calendar management experience will be considered a plus
  • Excellent interpersonal skills with a friendly demeanor that fosters positive interactions with visitors and team members
  • EMR experience required (ECW)
