Front Desk Registration Trainer is responsible for training and supporting front desk and registration staff to ensure accurate patient registration, exceptional customer service, and consistent adherence to organizational policies, payer requirements, and regulatory standards. This role serves as a subject‑matter expert on registration workflows, insurance verification, and front desk procedures.Essential duties and responsibilities
- Develops, updates, and delivers training for new and existing front desk/registration staff on registration workflows, scheduling, check‑in/check‑out, and customer service standards.
- Trains staff on accurate collection and entry of demographic, insurance, and consent information in the practice management/EHR system.
- Observes staff performance at the front desk, provides real‑time coaching, and documents training and competency checklists.
- Creates and maintains training materials, quick reference guides, and standard work for registration processes.
- Monitors registration accuracy, denials related to registration errors, and front desk productivity reports to identify training needs.
- Collaborates with Revenue Cycle, Billing, and Compliance to incorporate payer, coding, and documentation requirements into front desk training.
- Assists with onboarding plans and orientation schedules for new front desk/registration employees.
- Communicates workflow changes, policy updates, and system upgrades to front desk staff and ensures understanding through follow‑up training.
- Supports front desk operations as needed, including greeting patients, answering phones, scheduling, and collecting co‑pays, to model best practices.
- Promotes a patient‑centered, culturally competent, and trauma‑informed approach at the front desk.
- Maintain documentation of all training activities, including pre- and post-evaluations.
- Prepare monthly summaries of training sessions conducted, areas improved, and recommendations.
- Participate in leadership meetings to discuss training updates and performance concerns.
