The Senior Front Desk Representative coordinates and oversees daily front office operations within the Rehab Services Department while providing exceptional customer service to patients, families, and staff. This role ensures accurate patient registration, efficient communication, and smooth administrative workflows by supporting front desk functions, maintaining compliance with policies, and collaborating closely with clinical and administrative teams. How you’ll contribute

A Senior Front Desk Representative who excels in this role:

  • Provide exceptional customer service to patients, families, and staff while maintaining a professional and welcoming front office environment.

  • Coordinate and oversee daily front office operations within the Rehab Services Department to support efficient patient flow and smooth administrative processes.

  • Lead patient registration, check-in, and check-out activities, ensuring accurate entry of demographic, billing, and clinical information into registration systems and EMR.

  • Verify and update patient insurance and demographic information, explain policies and procedures, and manage payment collection while maintaining accurate cash drawer records.

  • Serve as the primary point of contact for incoming calls, visitors, and inquiries, routing messages appropriately and escalating issues to clinical staff when necessary.

  • Utilize Microsoft Office Suite, EMR systems, practice management software, and Clockwise to perform scheduling, documentation, and data entry with accuracy and efficiency.

  • Demonstrate strong leadership, critical thinking, and interpersonal skills while maintaining HIPAA compliance, supporting team members, and operating effectively in a fast-paced healthcare environment.

  • Maintain confidentiality and comply with HIPAA and hospital policies while assisting with scheduling, appointment reminders, or other support tasks.

What we’re looking for

  • Applicants should have a high school diploma or equivalent. Additional requirements include:
  • High school diploma or equivalent required; additional clerical experience may substitute for education.
  • Prefer a minimum of two years of clerical or administrative experience in a healthcare or office setting.
  • Strong critical thinking skills, decisive judgment, and the ability to work independently with minimal supervision.
  • Ability to work effectively in a high-volume, fast-paced, and sometimes stressful environment.
  • Excellent communication skills, basic math skills, and computer literacy.
  • Coding experience preferred.
  • Strong customer service skills and a service-oriented personality, with the ability to manage multiple tasks simultaneously.
