Responsibilities
- Greet visitors and patients warmly, ensuring a positive first impression for everyone entering the office
- Answer multi-line phone systems promptly and professionally, directing calls efficiently to the appropriate departments or personnel
- Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
- Handle incoming and outgoing correspondence, including emails, mailings, and document deliveries with accuracy and attention to detail
- Maintain organized filing systems, data entry records, and office supplies inventory to support daily operations
- Provide general administrative support, managing office logistics, and supporting team members with clerical duties
Requirements
- Bilingual fluency in English and Spanish is essential for effective communication with diverse clients and staff
- Proven experience in front desk operations or office management roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office, Google Workspace, and data entry skills
- Familiarity with multi-line phone systems, customer service best practices, and phone etiquette
- Previous clerical or administrative experience demonstrating attention to detail and time management abilities
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Excellent proofreading skills for document review and correspondence accuracy
- Personal assistant or office experience is a plus
