Duties
- Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression.
- Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or personnel.
- Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace or Microsoft Office.
- Assist with office management tasks including supply inventory, mail distribution, and maintaining a tidy reception area.
- Support customer service efforts by addressing inquiries, providing information, and ensuring client satisfaction.
- Utilize computer skills for various clerical duties such as typing reports, updating databases like QuickBooks or other office management software, and supporting bookkeeping activities.
Experience
- Prior office experience or administrative support roles are highly preferred.
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience in customer service or customer support environments that require excellent phone etiquette and interpersonal skills.
- Familiarity with multi-line phone systems and office management procedures is advantageous.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Strong organizational skills with attention to detail in tasks such as data entry, filing, proofreading, and calendar management.
