Job Summary
We are seeking a dynamic and organized Front Desk/Office Assistant to be the welcoming face and efficient coordinator of our busy office environment. Duties
- Greet clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, practicing excellent phone etiquette and providing exceptional customer support
- Handle incoming calls efficiently, directing inquiries to appropriate staff members or departments
- Perform data entry, filing, and document proofreading to maintain accurate records and organized files
- Assist with appointment scheduling, calendar management, and coordinating meetings using Google Workspace or Microsoft Office tools.
- Verify Insurance, collect payments.
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide clerical assistance including typing correspondence, preparing reports, and maintaining organized digital and physical files
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and excellent phone etiquette skills
- Experience with bookkeeping is a plus for handling basic financial tasks
- Strong computer literacy with the ability to quickly adapt to new software tools
- Exceptional time management skills with the ability to prioritize tasks efficiently
- Previous experience in customer service or as a receptionist in medical or behavioral health offices is advantageous
- Attention to detail for proofreading documents and data entry accuracy
- Personal assistant experience or medical/behavioral health receptionist background is beneficial but not required
