Front desk/Office Assistant

Job Summary
We are seeking a dynamic and organized Front Desk/Office Assistant to be the welcoming face and efficient coordinator of our busy office environment. In this role, you will manage front desk operations, handle multi-line phone systems, and provide essential administrative support to ensure smooth daily functions. Duties

  • Greet clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with professionalism, practicing excellent phone etiquette and providing exceptional customer support
  • Handle incoming calls efficiently, directing inquiries to appropriate staff members or departments
  • Perform data entry, filing, and document proofreading to maintain accurate records and organized files
  • Assist with appointment scheduling, calendar management, and coordinating meetings using Google Workspace or Microsoft Office tools.
  • Verify Insurance, collect payments.
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide clerical assistance including typing correspondence, preparing reports, and maintaining organized digital and physical files

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Experience with bookkeeping is a plus for handling basic financial tasks
  • Strong computer literacy with the ability to quickly adapt to new software tools
  • Exceptional time management skills with the ability to prioritize tasks efficiently
  • Previous experience in customer service or as a receptionist in medical or behavioral health offices is advantageous
  • Attention to detail for proofreading documents and data entry accuracy
  • Personal assistant experience or medical/behavioral health receptionist background is beneficial but not required
