Job Summary

The Front office & admin support play a key dual role in ensuring smooth day-to-day office operations. This position serves as the first point of contact at the front desk, coordinates office administration and IT needs, and contributes to business development initiatives, including lead generation, client engagement, and tracking marketing efforts. Fluency in Arabic is a plus for effective communication with clients and external stakeholders.

Key Responsibilities

Job responsibilities will include, but are not limited to the below:

Front Office
  • Serve as the first point of contact for visitors, clients, and callers, always ensuring a professional and welcoming presence; while adhering to company mission, vision, values, and focus on conversion rates.
  • Answer and manage incoming phone calls, route them appropriately, take accurate messages, and ensure timely follow-up when needed.
  • Handle client inquiries and direct them to the relevant team members.
  • Monitor, order, and maintain office and pantry supplies to ensure availability and cost-efficiency.
  • Provide general administrative support to design, project staff and management.
  • Maintain CRM system and accurate incoming lead tracking across our communication channels (including but not limited to phone, general company email, and website forms).
  • Report weekly incoming leads to the sales and marketing team.
Admin Support
  • Assist and support marketing initiatives in researching opportunities for community engagement, potential client acquisition, and market opportunities, as responsibilities and time allows.
  • Coordinate with IT support for the setup and maintenance of office hardware, software, and internet systems.
  • Assisting Engineer / Architect with admin-related tasks (e.g BOQ, Engineering Specs, etc.).
  • Manage day-to-day office operations including filing, correspondence, scheduling, and documentation.
  • Support travel bookings, event coordination, and internal meeting logistics when needed.
Required Qualification
  • Bachelor's degree in Business Management or other related field
  • Minimum 6-8 years of Administrative experience (preferably in the UAE or in Engineering Consultancy)
  • Strong communication and written skills in English
  • Proficient in using Microsoft Office (Outlook, Excel, Word, etc.)
  • Ability to manage multiple tasks efficiently
