Front Office Administrator

Position Overview:

We are seeking a highly polished, professional, and reliable Front Office Administrator / Receptionist to serve as the first point of contact for our wealth management firm, conveniently located near Scottsdale Rd and the Loop 101. This individual will play a critical role in creating a welcoming, organized, and efficient office environment while delivering an exceptional client experience.

The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced, client-facing setting. This role requires strong communication skills, a high level of professionalism, and the ability to manage multiple priorities with accuracy and discretion.

Key Responsibilities:

  • Greet and welcome clients and visitors with a warm, professional presence
  • Manage incoming calls, direct inquiries, and respond to client needs promptly
  • Coordinate and schedule appointments, meetings, and conference room usage
  • Maintain a clean, organized, and professional front office environment
  • Provide administrative support to advisors and operations team
  • Assist with client onboarding, including account paperwork and documentation
  • Manage incoming/outgoing mail, deliveries, and office supply inventory
  • Maintain and update client information within CRM systems
  • Handle confidential client information with discretion and professionalism

Qualifications:

  • 2+ years of experience in banking, financial services, or a professional office environment preferred
  • Strong customer service and client relationship skills
  • Excellent verbal and written communication abilities
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize effectively in a fast-paced setting
  • Polished, professional demeanor and positive attitude

Technical Skills:

  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Experience with CRM systems (e.g., Salesforce, Redtail, or similar) preferred
  • Comfortable learning and navigating new technology platforms
  • Strong data entry accuracy and attention to detail

Job Type: Full-time

Pay: $48,000.00 - $51,000.00 per year
