Front Office Assistant

Job Summary
We are seeking a dynamic and detail-oriented Front Office Assistant to join our Dental team. In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming and efficient front desk operation. Your expertise in Dental office administrative support, medical records management, and proficiency with electronic health record (EHR) systems will be essential to streamline patient intake, appointment scheduling, insurance verification, and documentation review. This position offers an exciting opportunity to contribute to high-quality patient care while maintaining smooth clinic operations.

We offer a flexible schedule in our privately owned practice Typical work Week

Monday: 08:00-5:15 Tuesday: 08:00-5:00 Wednesday 0800-5:00 Thursday: 0800-5:15

1 Friday Per Month 8AM-4:15 (Average work week is 4 Days Per week)

Duties

  • Greet patients and visitors warmly, providing exceptional patient service and phone etiquette.
  • Manage multi-line phone systems, schedule appointments, and coordinate patient flow efficiently.
  • Verify insurance coverage and perform insurance verification using systems such as Dentrix.
  • Review medical documentation for accuracy and completeness, ensuring compliance with HIPAA regulations.
  • Assist with medical billing processes including CPT coding, ICD-10/ICD-9 coding, and Dental claims processing.
  • Maintain accurate medical records, including filing, data entry, and updating electronic health records (EHR) systems like Dentrix
  • Support clinic operations by managing office supplies, handling clerical tasks such as typing reports, and maintaining organized medical files.
  • Facilitate intake procedures for new patients and assist with scheduling using dental or medical office management software.
  • Ensure adherence to health information management standards and assist in documentation review for accuracy.

Qualifications

  • Proven experience in a Dental office setting or healthcare environment with strong clerical skills.
  • Knowledge of Dental terminology, CPT coding, ICD coding (ICD-10/ICD-9), and HIPAA compliance requirements.
  • Experience with insurance verification processes including Medicaid and private insurance plans.
  • Excellent computer skills including proficiency in Microsoft Office Suite and office management software like Dentrix.
  • Strong organizational skills with attention to detail in documentation review and filing procedures.
  • Bilingual abilities are a plus to serve diverse patient populations effectively.
  • Previous clinic or dental office experience is highly preferred; familiarity with dental terminology is advantageous.
  • Exceptional customer service skills combined with professional phone etiquette
