Job Summary
We are seeking a dynamic and organized Front Office Assistant to join our busy physical therapy practice. Duties
- Greet patients warmly and provide excellent customer service during check-in and check-out processes
- Schedule, reschedule, and confirm appointments using electronic health record (EHR) systems.
- Verify insurance coverage, perform insurance authorization and verification procedures, including Medicare requirements
- Collect co-pays, process payments, and handle medical collections accurately and efficiently
- Manage incoming calls with professional phone etiquette, directing inquiries to appropriate staff members
- Maintain organized medical records, ensuring compliance with HIPAA regulations and proper documentation review
- Assist with administrative tasks such as filing, data entry using Microsoft Office tools, and managing multi-line phone systems
- Support clinical staff with intake procedures, patient documentation review, and care plan updates as needed
Preferred Skill Sets
- Prior experience in a medical office setting or healthcare environment, preferably in a physical therapy clinic
- Strong knowledge of medical terminology, CPT coding (Current Procedural Terminology), ICD-10/ICD-9 coding systems, and medical billing processes
- Familiarity with EMR (Electronic Medical Records) systems such as WebPT is helpful.
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel), typing.
- Excellent customer service skills with the ability to handle sensitive information discreetly in accordance with HIPAA standards
- Bilingual abilities are highly desirable but not required to apply.
- Strong organizational skills with attention to detail for accurate documentation review and insurance verification
- Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining professionalism and positive attitude
