Front Office Coordinator

Job Summary
We are seeking a dynamic and highly organized Front Office Coordinator to serve as the welcoming face of our organization. This role is vital in ensuring smooth daily operations by managing front desk activities, handling multi-line phone systems, and providing exceptional customer support. The ideal candidate will demonstrate strong office management skills, bilingual communication abilities, and proficiency with various computer applications. As a key point of contact, you will foster a positive environment for visitors, clients, and staff while maintaining efficient administrative workflows.

Duties

  • Greet visitors and clients warmly, ensuring a professional and friendly first impression at all times
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Maintain the front desk area, ensuring it is organized, welcoming, and well-stocked with necessary supplies
  • Handle scheduling tasks such as calendar management and appointment setting for staff and executives
  • Perform data entry, filing, and document proofreading to support administrative operations
  • Utilize office management software including Microsoft Office Suite, Google Workspace, and QuickBooks for record keeping and bookkeeping tasks
  • Support office functions through clerical duties such as copying, scanning, faxing, and maintaining accurate records of correspondence
  • Assist with customer service inquiries via phone or email, providing timely support and information
  • Coordinate with other departments to ensure smooth office operations and effective communication flow
  • Manage personal assistant responsibilities as needed to support executive or team members’ schedules

Experience

  • Proven experience in office management or administrative roles within a professional environment
  • Strong clerical experience including data entry, filing, proofreading, and document organization
  • Excellent computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and QuickBooks for bookkeeping purposes
  • Prior experience working at a front desk or reception area in a medical or dental setting is highly desirable
  • Bilingual abilities are preferred to effectively communicate with diverse clients and team members
  • Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
  • Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Knowledge of office equipment operation including printers, scanners, fax machines, and phone systems
  • Strong customer service orientation with excellent communication skills and phone etiquette
