We are seeking a friendly, organized front office coordinator to join our busy dermatology office. The Front Office Coordinator manages a variety of front office functions and is key to a smooth operation of a dynamic practice. Greeting all patients and visitors and welcoming them to the office. Ensuring a positive experience for each patient with exceptional customer service skills.
Responsibilities:
- Manage the front office operations and ensure smooth daily operations
- Greet and assist visitors, patients, and clients in a professional and friendly manner
- Answer phone calls, schedule appointments, and respond to inquiries
- Maintain office supplies/medical supplies inventory and place orders as needed
- Handle incoming and outgoing mail and packages
- Assist with clerical tasks such as data entry, filing, and photocopying
- Coordinate projects and ensure timely completion
- Proofread documents for accuracy and completeness
-Verifying insurance
-Updating insurance information and verifying insurance
-Schedule
-Taking messages accurately and relating to appropriate personnel.
-Collecting co-pays
-Operating EMR software.
-Keeping the waiting room tidy.
-Handling billing issues, making transactions, keeping the patient's paperwork confidential & organized.
-Assisting with prior authorizations and calling to schedule referrals.
-Updating companies website and social media accounts with new promotions and marketing images.
-Working closely with the office managers to ensure the front office runs smoothly.
-Performing light cleaning duties: dusting, vacuuming, taking out trash etc.
-Other assigned tasks as needed.
Requirements:
H.S. Diploma or equivalent
Strong computer skills: MS Word, Excel, EMR software, Adobe creative.
Ability to multi-task
Tech-savvy
Ability to work in a fast paced environment and to work on multiple projects at the same time.
Must be flexible and reliable.
Exceptional customer skills.
Qualified candidates will pay close attention to detail, have strong communication skills, have a positive attitude, be a self-starter, and have the ability to work in a fast-paced environment.
Knowledge of insurance billing, HIPAA protocols

Must be a team player and willing to roll up your sleeves and help with anything that needs to be done for optimal patient care; capable of working independently and exercising good judgment in handling a variety of situations. Must possess excellent customer service skills; excellent listening skills; willingness to take initiative; and a collaborative and cooperative attitude.
