Job Overview

Surface Mount Solutions is a fast-growing electronics manufacturing company specializing in quick-turn and high-reliability PCB assembly. We are looking for a Front Office Coordinator who is detail-oriented, organized, and excited to work in a fast-paced technical environment.

This position plays a vital role in supporting our quoting, purchasing, and documentation workflows. You will work closely with management, engineering, and production teams to keep information flowing smoothly and professionally.

Key ResponsibilitiesDocument & Administrative Support

  • Format, edit, and prepare customer documentation (BOMs, drawings, quotes, purchase orders, compliance documents, etc.).
  • Maintain organized digital files and ensure data accuracy across systems.
  • Assist with creating templates, forms, and polished customer-facing documents.

Quoting Support

  • Assist in preparing quotes for PCB assembly projects.
  • Review and format customer BOMs for accuracy and consistency.
  • Gather component pricing and lead-time information from distributors.
  • Coordinate with management on final quote submission.

Purchasing Support

  • Assist with purchasing electronic components, hardware, and materials for production.
  • Communicate with suppliers to confirm availability, pricing, and delivery schedules.
  • Track orders and update internal systems with current status.
  • Ensure timely delivery of all materials needed for assembly builds.

Front Office & Customer Interaction

  • Answer phones, greet visitors, and support overall front-office operations.
  • Provide friendly, professional communication with customers and vendors.
  • Support various administrative tasks as needed.

Qualifications

  • Strong attention to detail and high accuracy in data entry.
  • Proficiency with Microsoft Office (Excel, Word) and general computer literacy.
  • Excellent written and verbal communication skills.
  • Ability to stay organized and manage multiple tasks in a fast-paced environment.
  • Experience in electronics, PCB assembly, or component purchasing is a plus but not required.
  • Prior office, admin, quoting, or purchasing experience preferred.

Job Type: Full-time

Pay: $24.00 - $26.00 per hour
