Join our team at Haywood Health & Fitness Center, where our dedicated staff supports the health and wellness needs of our community. As a Front Office Coordinator in the Rehab Services Department, you will play a key role in managing daily front office operations, greeting and assisting patients and visitors, answering calls, scheduling appointments, maintaining records, and coordinating with clinical and administrative staff to ensure efficient patient flow and excellent customer service. Attention to detail, professionalism, teamwork, and compassionate service are essential while maintaining confidentiality and compliance with HIPAA and hospital policies.


How you’ll contribute

A Front Office Coordinator who excels in this role:

  • Coordinate and manage day-to-day activities in the front office of the Rehab Services Department.
  • Receive, screen, and route visitors and telephone calls, responding to, escalating, and following up on inquiries and issues as appropriate.
  • Register patients, verify data, and assist with completing forms; obtain and update demographic, billing, and third-party coverage information, explaining policies and procedures as needed.
  • Provide excellent customer service by greeting patients, families, and visitors warmly and professionally.
  • Maintain files, office equipment, and departmental records with attention to detail and accuracy.
  • Coordinate with clinical and administrative staff to ensure smooth patient flow and efficient office operations.
  • Maintain confidentiality and comply with HIPAA and hospital policies while assisting with scheduling, appointment reminders, or other support tasks.

What we’re looking for

  • Applicants should have a high school diploma or equivalent. Additional requirements include:
  • High school diploma or equivalent required; additional clerical experience may substitute for education.
  • Prefer a minimum of two years of clerical or administrative experience in a healthcare or office setting.
  • Strong critical thinking skills, decisive judgment, and the ability to work independently with minimal supervision.
  • Ability to work effectively in a high-volume, fast-paced, and sometimes stressful environment.
  • Excellent communication skills, basic math skills, and computer literacy.
  • Coding experience preferred.
  • Strong customer service skills and a service-oriented personality, with the ability to manage multiple tasks simultaneously.


Schedule: PRN. This position could work at the Haywood Health & Fitness Center, the Outpatient Care Center, or in our Canton, NC office.
