Position Overview
The Front Desk Coordinator serves as the central communication hub for our residential construction office. This role ensures a professional, organized, and efficient front office environment while providing administrative and project support to construction teams, subcontractors, vendors, and clients. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced environment with multiple moving parts.
Key Responsibilities
Reception & Client Interaction
- Welcome homeowners, subcontractors and vendors as they arrive onsite.
- Answer and route calls related to project status, scheduling, deliveries, or warranty inquiries.
- Open all mail upon delivery and distribute in a timely manner.
Administrative & Project Support
- Assist with preparation and organization of project documentation, including permits, plans and job files.
- Maintain digital and physical filing systems for project records, proposals and pertinent documents.
- Support the scheduling of site visits, inspections, client meetings, and contractor appointments.
- Track incoming documents for material delivery tickets to facility
Operations & Office Coordination
- Manage front office supplies and equipment check-in/out logs.
- Coordinate pick-ups and deliveries with suppliers and courier services.
Communication & Team Collaboration
- Maintain accurate contact lists for employees, subcontractors and vendors.
- Relay urgent information to field supervisors or project managers in a timely manner.
- Handle sensitive project information with confidentiality and professionalism.
Qualifications
- High school diploma or equivalent; additional administrative or construction-related coursework a plus.
- Previous experience in construction, property management, or a similar fast-paced office environment preferred.
- Strong communication and customer service skills, especially with homeowners and subcontractors.
- Proficiency with Microsoft Office and (preferred) construction software such as BuilderTrend.
- Ability to multitask, prioritize and stay organized with competing deadlines.
- Strong attention to detail with the ability to read or handle basic construction paperwork.
Preferred Skills
- Familiarity with residential construction terminology and processes.
- Experience handling permits or interacting with city/county building departments.
- Bilingual abilities (Spanish/English often beneficial in construction environments).
Working Conditions
- Office-based role with consistent interaction with field teams.
- Ability to sit, stand, lift plan sets, and move between office and outdoor areas as needed.
- Full-time, on-site position
- Standard business hours between 8am and 5pm daily; attendance is critical in this small office environment
Pay: $16.00 - $19.00 per hour
Expected hours: 40.0 per week
