Front Office Coordinator/Patient Concierge

Phoenix Plastic Surgery is seeking a full-time Front Office Coordinator/Patient Concierge to join our growing plastic and reconstructive surgery practice. The ideal candidate has excellent communication skills, thrives in a fast-paced environment, can multitask effectively, and is dependable and professional. This Monday through Friday position offers the opportunity to share in the practice’s growth through consultation scheduling, along with exceptional personal freedom to explore interests in marketing, social media, continuing medical education, and professional development. We are looking for someone motivated to learn, work hard, help grow the practice, and grow within it.

Essential Job Responsibilities:

· Greet and welcome patients and visitors with a warm and friendly demeanor

· Schedule appointments (insurance and self pay consultations) and manage the office calendar

· Possess an outgoing, upbeat personality while talking with patients both on the phone and in-person

· Have a strong ability to build relationships as well as a desire to perform outreach with a positive attitude and friendly demeanor

·Provide value and educate our patients regarding our approach, the procedure, and our processes; including all documentation and financing/payment options available.

· Demonstrate an interest in logistics to schedule consultations efficiently and promptly.

· Meet over the phone and in person with new and existing patients to determine realistic goals, matching the appropriate treatment plans with our surgical and non-surgical solutions

· Maintain and develop a patient pipeline, and regularly follow up with prospective patients who did not move forward in their initial consultation

·Promote services and products to new and existing patients

· Provide value and educate our patients regarding our approach, the procedure, and our processes; including all documentation and financing/payment options available.

· Ensure that cancelled appointments and related ancillary appointments are rescheduled and communicated.

· Process and collect co-pays, deductibles, product, and surgical sales.

· Work with other medical providers and patients to ensure prompt scheduling of referrals.

· Assist in the scheduling of pre-op and post-op appointments.

· Initiation and maintenance of correspondence with patients and insurance companies to include necessary prior authorization of new patient and/or follow up visits with multiple providers as well as to verify patient health benefits

· Initiate insurance authorizations for consultations in a timely manner.

· Process authorization appeals and gap exceptions when required for clinic visits.

· Gather pertinent information from insurance carriers to verify patients’ financial obligation for services.

· Keep Electronic Medical Record System schedule up to date.

· Perform general office duties when needed.

· Demonstrates detail orientated practices to ensure patient information and scheduling is accurate.

· Maintain a professional, team oriented, positive attitude daily.

Minimum Qualifications:

· High School Diploma or equivalent.

· Friendly, professional, and courteous demeanor.

· Dedication to creating a pleasant (and fun!) patient experience (we are a light-hearted office).

· Minimum 1 year of front office, patient care coordination, or related experience.

  • Excellent interpersonal and communication skills both written and verbal.
  • Strong organizational skills.
  • Knowledge of medical insurance processing including Medicare, Medicaid, In-Network, and Out-of-Network clinic visit authorizations
  • Experience in Electronic Medical Record Systems (office utilizes Patient Now)
  • Interest in expanding knowledge base and a strong desire to help grow a thriving practice.
  • Knowledge of HIPAA privacy requirements.
  • Strong work ethic
  • Bi-lingual in Spanish is a plus.
  • Medical Assistant experience is a plus.
  • Experience with one-on-one consultative selling in industries such as plastic or cosmetic surgery, hair replacement, or other professional settings is considered a plus.

Pay: $22.50 - $26.00 per hour
