- Visitor and Supplier Management: Greet all visitors, suppliers, and partners professionally, verify their purpose of visit, and escort them to the appropriate personnel.
- Communication Management: Answer, screen, and forward incoming phone calls, and manage incoming/outgoing mail and deliveries efficiently.
- Scheduling and Coordination: Schedule meetings and appointments for the supply chain team and coordinate with other departments to ensure timely flow of materials and information.
- Administrative Support: Provide general administrative support, such as managing office supplies, maintaining filing systems, organizing documents, and performing data entry tasks.
- Reception Area Maintenance: Ensure the reception area is tidy, presentable, and stocked with necessary stationery and materials.
- Record Keeping: Maintain accurate records of visitor logs, appointments, and incoming/outgoing shipments.
- Inventory Management: Monitor office supplies and inventory, and place orders for new stock when needed to prevent shortages.
- Safety and Security: Adhere to office security procedures and control access via the reception desk to maintain a safe and secure environment.
- Support Operations: Assist in coordinating with logistics and warehouse teams to facilitate the movement of goods and materials, ensuring a smooth supply chain process.
