Front Office Executive (Receptionist)

India

Key Responsibilities

  • Greet patients, attendants, and visitors warmly and courteously.
  • Respond to general enquiries (in person, by phone, email) about services, departments, consultants, visiting hours, etc.
  • Guide patients/visitors to correct departments or wards.
  • Handling feedback or complaints at the front desk; escalate unresolved issues to appropriate authority.Registration & Scheduling Register new patients, collect demographic information, update existing patient records.
  • Assign Unique Hospital Identification (UHID) number or patient file/OPD card.
  • Schedule, reschedule or cancel appointments (for OPD / specialists / diagnostic / other services).
  • Coordinate with doctors/consultants’ schedules, diagnostic departments, other units to optimize patient flow.Billing & Admission Support

Generate estimates / tentative billing for procedures or services as required. Liaise with clinical departments (doctors, nursing, diagnostics) to facilitate patient movement. Handle incoming calls, transfer or route them correctly.

  • Support the admission / discharge process by liaising with admissions, wards, finance/billing.
  • Handle insurance / TPA / corporate billing formalities if applicable.
  • Collect payments, issue receipts, ensure correct documentation.Record-Keeping & Data Entry Maintain accurate patient records (basic info, files, visits, payments).
  • Update Hospital Information System (HIS) or other software with registrations, appointments, billing.
  • Maintain logs of visitors, enquiry registers, appointment book.Coordination / Communication
  • Communicate delays, changes, emergency situations to relevant parties.
  • Inform patients/attendants about waiting times, procedural steps, billing, etc.Customer Experience / Service Quality Ensure waiting areas and front office are clean, presentable, and comfortable.
  • Maintain a professional, polite and empathetic attitude.
  • Work to minimize patient waiting time and ensure timely service.
  • Help maintain hospital’s standards / SOPs for front office service.Administrative & Other Duties
  • Manage email enquiries.
  • Maintain supplies, stationery, forms required at front desk.
  • Assist with generating daily / weekly / monthly reports (MIS, appointment scheduling stats, registration numbers, billing).
  • Participate in quality improvement / audit activities as required.
  • Substitute for other front-office / reception staff when required.

Qualifications & Skills

  • Minimum education: Preferable Diploma / Bachelor’s in any stream.
  • Good command of local languages and English.
  • Strong communication and interpersonal skills.
  • Basic computer skills (MS Office: Word, Excel, Outlook).
  • Ability to multitask, stay calm under pressure, handle queues.• Experience (1-3 years) in hospitals or healthcare environment.
  • Familiarity with Hospital Information Systems (HIS) or patient management software.
  • Knowledge of insurance / TPA billing processes.
  • Training in customer service or healthcare administration.
  • Language skills (if hospital has multilingual patient base).

Job Types: Full-time, Permanent

Pay: ₹12,000.00 - ₹20,000.00 per month
