Summary

The Front Office HR Coordinator is a dual-focused role that combines responsibilities of maintaining the front office and supporting the operations staff and Human Resources (HR) Department. This position requires a mix of administrative and HR-related tasks, including managing the front desk and office areas, greeting visitors, and assisting with HR functions such as onboarding and maintaining consistent employee records.

Responsibilities

  • Maintain reception, kitchen, and storage areas free from clutter
  • Answer phones, manage correspondence, greet visitors, and handle incoming / outgoing mail & packages
  • Maintain inventory to established par levels for various items (Office & Party supplies, Promotional giveaways, Client gifts, Apparel)
  • Assist CEO as needed with various marketing needs
  • Plan various Company Events (Christmas, Summer kick-off, Monthly luncheons)
  • Provide Sales Event Support (Golf Tournaments, etc.)
  • Employee Recognition Status + Awards upkeep
  • Assist Controller with various Filings & Reports distributed and filed according to established deadlines
  • Retrieve Annual MVR’s on all company drivers
  • Onboarding and Offboarding Employees
  • Employee device issuance & upkeep in MDM systems (MS In Tune, Verizon)
  • Payroll assistance to include the setup of employees in various systems & applications, timekeeping maintenance and collection of various approvals
  • Assist with various Recruiting activities, to include events coordination where needed
  • Maintain & update various company calendars; coordination & reporting of usage/trainings/testing (PTO, Toolbox Talks, PSW training, Drug Free Workplace)
  • Assist with Employee Benefits Administration & Reconciliation
  • Paylocity Super User - identifying ways to maximize utilization & incorporate full functionality of various HR tracking tools for reviews, KPI’s, 1-2-1’s, onboarding, offboarding etc.
  • Additional responsibilities as required

Requirements

  • Bi-Lingual (Written & Verbal Fluency in English / Spanish)
  • Excellent verbal and written communication abilities (Teams experience preferable)
  • Experience with Paylocity (automations) a HUGE plus!
  • Pleasant, dependable and punctual
  • Basic data entry skills, with STRONG Attention to detail and accuracy
  • Basic Excel skills
  • Independent organizational and time management skills
  • Background in HR & Payroll preferred
