Front Office Lead Scheduler

Job Overview
We are seeking a highly organized and detail-oriented Front Office Lead Scheduler to oversee appointment scheduling and administrative support within a busy medical practice. The ideal candidate will possess strong communication skills, proficiency in electronic health record (EHR) systems, and experience managing front desk operations. This role is vital in ensuring smooth clinic workflows, accurate documentation, and excellent patient service. The position offers an opportunity to contribute to efficient health information management and patient care coordination.

Duties

  • Manage appointment scheduling using EMR system Athenahealth EHR platform
  • Verify insurance coverage and perform insurance verification procedures
  • Review and update patient medical records, ensuring accuracy and compliance with HIPAA regulations
  • Coordinate with clinical staff to optimize clinic schedules and care plans
  • Handle patient intake processes, including data entry and documentation review
  • Assist with billing procedures related to CPT coding, ICD-9/10 coding, and medical billing processes
  • Maintain accurate documentation of appointments, procedures, and patient interactions
  • Supervise front desk staff to ensure excellent patient service, phone etiquette, multi-line phone system management, and clerical support
  • Oversee office management tasks such as filing, data entry (including 10 key typing), and maintaining medical records
  • Support administrative functions including office management, medical office support, and health information management
  • Ensure compliance with HIPAA guidelines and confidentiality standards in all documentation and communication
  • Collect co-pays and patient account balances

Qualifications

  • Proven experience in medical or dental office administration with familiarity in clinic operations and front desk management
  • Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, Dentrix, Eaglesoft, or similar platforms
  • Experience with medical coding (ICD-9/10), CPT coding, medical billing, insurance verification, and documentation review
  • Knowledge of healthcare terminology including medical terminology and dental terminology
  • Ability to handle multiple tasks efficiently with excellent organizational skills
  • Exceptional customer service skills with professional phone etiquette and bilingual abilities preferred
  • Proficiency in Microsoft Office Suite (Word, Excel) and other computer skills relevant to health information management
  • Familiarity with hospital or clinic experience is a plus; certification in healthcare administration or related fields is advantageous
  • Strong attention to detail while maintaining compliance with HIPAA regulations and privacy standards

This role requires a proactive individual capable of leading front office operations while providing outstanding support to both patients and clinical staff.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
