Front Office Manager

Front Office Manager / Receptionist

Full-time · 40 hrs/week · On-site · Ashland, VA · $20–$25/hour DOE

About Us

Minor’s Fences is a growing residential and commercial fencing contractor serving the Richmond/Central Virginia area since 1991. We’re building a fully digital operation and need a front office professional who can keep pace with a fast-moving field team, communicate clearly with customers and vendors, and own the administrative flow without being asked twice.

What You’ll Own

  • Call in utility locates (Miss Utility tickets) and track deadlines proactively — jobs don’t move until this is done
  • Generate and send electronic proposals and invoices; process payments and track receivables in QuickBooks
  • Manage the company CRM — update job status, track leads, log customer communications, and maintain accurate records
  • Answer phones, respond to email, and communicate professionally with customers, sales reps, and field staff
  • Schedule jobs and manage the install calendar in coordination with the Director of Operations
  • Maintain digital job files, track deposits and balances, and update job status in real time
  • Manage material orders and vendor communication; confirm deliveries and flag discrepancies
  • Support owner with reporting, correspondence, and ad hoc administrative needs

What We’re Looking For

✓ Strong computer skills — you work digitally by default, not as a last resort

✓ Proficiency in Microsoft Excel, QuickBooks, and CRM software (experience with any platform considered)

✓ Experience generating electronic proposals and invoices in a service or trades environment

✓ Clear, professional written and verbal communication — customers and vendors deal with you first

✓ Self-starter who takes initiative without waiting to be reminded — you move the office forward

✓ Comfortable in a fast-paced environment where priorities shift and no two days are the same

✓ Detail-oriented with strong follow-through — deadlines and callbacks don’t fall through the cracks

✓ Prior office experience in construction, trades, or home services is a strong plus

This Role Is Not a Fit If You

✕ Prefer paper-based or manual processes and resist adopting digital tools

✕ Need significant oversight or push back on direction from ownership

✕ See “that’s not my job” as an acceptable answer in a small business environment

Compensation & Benefits

Pay: $20–$25 per hour, based on experience

Hours: Full-time, 40 hours/week, Monday–Friday
