Urology Surgical Group is seeking a Full-Time Front Office Medical Assistant (Referrals Experience Required) with Surgical Scheduling Advancement

Position Overview

This position combines front office responsibilities with full oversight of referrals and insurance authorizations. Over time, the right candidate will transition to include hospital surgery scheduling for more invasive procedures, becoming a key part of our surgical coordination process.

This is a high-responsibility role that directly impacts patient care, provider productivity, and practice revenue.

Core Responsibilities Front Office & Patient Check-In

  • Greet and check in patients in a professional and efficient manner
  • Verify insurance eligibility and update demographics
  • Collect copays and process payments
  • Communicate clearly with patients regarding authorization requirements

Referrals & Authorizations

  • Submit and track authorizations for:
  • All office visits
  • In-office procedures
  • Imaging and outside referrals
  • Ensure all required documentation is attached (clinical notes, labs, imaging, etc.)
  • Proactively follow up with insurance companies and referring providers
  • Track pending authorizations to prevent delays in care
  • Maintain organized tracking systems and ensure no requests fall through the cracks
  • Identify patterns in denials and help improve submission processes

Workflow Development & Process Improvement

  • Assist in establishing and refining procedure workflows
  • Help build efficient systems for tracking referrals and authorizations
  • Identify inefficiencies and recommend solutions
  • Support clinic flow and provider scheduling

Growth Opportunity: Surgical Scheduling

As the clinic grows, this position will transition into including managing hospital surgery scheduling for invasive procedures.

Future responsibilities will include:

  • Coordinating hospital surgery dates
  • Communicating with hospital surgical schedulers
  • Securing pre-authorizations for hospital procedures
  • Coordinating pre-op requirements and clearances
  • Communicating detailed pre- and post-operative instructions to patients
  • Ensuring all required documentation is completed prior to surgery

This will require strong organization, follow-through, and the ability to manage multiple moving parts with accuracy.

Qualifications

  • Medical Assistant certification preferred
  • 2+ years of medical office experience
  • Strong experience with referrals and insurance authorizations required
  • Knowledge of HMO, PPO, Medicare, and commercial insurance plans
  • Familiarity with CPT and ICD-10 coding preferred
  • EMR experience required
  • Excellent communication and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Spanish speaking preferred

Pay: $18.00-$ 22.00 per hour

Expected hours: 40 per week
