Overview
We are seeking a dynamic and friendly Front Office Receptionist/Assistant to be the welcoming face of our organization. This role is vital in creating a positive first impression for visitors, clients, and staff while ensuring smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will handle a variety of administrative and clerical tasks, manage multi-line phone systems, and support office management activities to keep our workplace efficient and professional.
Responsibilities
- Greet visitors, clients, and staff warmly, directing them appropriately and ensuring a professional reception experience
- Operate multi-line phone systems with confidence, providing exceptional customer service and accurate message-taking
- Manage appointment scheduling and calendar coordination for staff
- Perform data entry, filing, and document proofreading to maintain accurate records and support administrative functions
- Handle incoming correspondence, emails, and inquiries promptly while maintaining confidentiality
- Support office management duties including supply inventory, organization of files, and maintaining a tidy reception area
Experience
- Prior experience working in an office environment or as a receptionist is highly preferred
- Demonstrated proficiency with computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
- Excellent phone etiquette with experience managing multi-line phone systems and providing customer support
- Bilingual abilities are a plus to effectively communicate with diverse clients and visitors
- Clerical experience involving data entry, proofreading, filing, and general administrative support is desirable
- Personal assistant or office management experience that includes calendar management and time management skills will be advantageous
