Job Title: Front Office Specialist/PT Tech for Waipahu/Kapolei and Honolulu Location

*Opportunity for Hybrid Front Office Role which may combine front office administrative responsibilities with hands-on support as a Physical Therapy Aide/Technician in a fast-paced outpatient rehabilitation setting. PT Aide/Technician duties and responsibilities will be based on the candidate’s background, experience, and overall fit for the position.
Main Job Tasks and Responsibilities: Front Office / Scheduling Duties
- Answer phone calls and emails in a friendly and timely manner
- Schedule and confirm patient appointments and resolve scheduling conflicts as they occur
- New patient registration (verifying and inputting patient demographics into EMR)
- General administrative and clerical support
- Coordinate with doctors’ offices and insurance companies for referrals, authorizations, and medical records
- Collect co-pays and maintain accurate patient records
- Assist with maintaining smooth daily clinic operations and exceptional customer service
Additional PT Aide / Technician Duties for Hybrid Position
- Assist physical therapists with preparing treatment areas and equipment
- Clean and sanitize treatment tables, gym equipment, and common areas according to facility protocols
- Assist with patient flow to ensure efficient treatment sessions under the supervision of Licensed Physical Therapist.
- Monitor and restock clinic supplies as needed
- Provide friendly, professional support to patients throughout their therapy experience
Required Skills/Experience:
- High level of organization and attention to detail
- Highly motivated individual with strong patient service skills
- Excellent communication skills, both written and verbal
- Must be a team player with a positive attitude
- Ability to work in a fast-paced environment and maintain poise under pressure
- Ability to multitask between front office and clinical support duties
- Ability to operate a computer, basic office equipment, and programs such as EMR systems, Microsoft Word, Excel, and PDF editing software
Minimum Qualifications:
- High school diploma or equivalent
- Prior office, customer service, medical office, or PT aide/tech experience preferred
- Knowledge of referral/authorization processes with various insurances preferred
- Knowledge of medical terminology such as ICD-10 and CPT codes is an advantage
- Ability to perform light physical tasks including standing, walking, lifting, and assisting with clinic setup/cleanup
