Summary of the position:
These are the general duties/responsibilities of this position. Other tasks may be required.
Assist the Court-Judicial Administrator, the Bailiff, and the Judge with:
- Scheduling all criminal cases
- Maintaining Criminal Calendar
- Sending the Criminal Calendar to other departments (Prosecutor, Jail, Public Defender, Victim Assistant, etc.)
- Create and manage criminal case files (computer and hard copy)
- Ensure documents (entries) are submitted and filed timely (Bond cancellations, Transports, Sentencing Entries, etc.)
- Preparing appropriate court entries/orders
- Reviewing Court entries/ filings to ensure accuracy (case numbers, captions, etc.)
- Obtain and compile statistical data for the monthly Supreme Court Report.
- Mailing, typing, filing, copying documents
- Providing correspondence from the Court to other departments (Prosecutors, Attorneys, Public Defenders, Victim Assistant, etc.) regarding court related filings
- Securing documents from the Adult Probation Department needed for criminal files
- Providing correspondence from the Court to Adult Probation Department regarding filings (Bonds, Plea Sheets, O.L. privileges, etc.)
- Execute documents as a Notary for the Court
- Mass Arraignment Hearings
- Directly assist the Magistrates when presiding over Criminal matters
- Liaison between Magistrates, Court, and Attorneys
- Records hearings and trials.
- Securing and copying CD transcripts from hearing and trials for attorneys, litigants, and general public.
- Maintaining Court's case related items and creating trial sheet (exhibits, evidence, videotapes, recordings, etc.).
- Intermediary between Pro Se litigants and Court
- Interact with the Clerk of Court's office on Court related matters.
- Answering phones for Courts (transferring calls, taking messages, etc.).
- Operate a variety of office equipment including a computer, telephone, calculator and copier.
- Other duties related to administration needs of the Judges, as determined/ requested by the Judge and Magistrates (Civil, Domestic Relations, etc.).
- All other duties as assigned.
Qualifications:
- High school graduate or equivalent. College degree preferred but not required.
