Materials Coordinator
(Full-Time Position)
Position Summary:
The Materials Coordinator reports to the Director of Nursing/center supervisor/manager. The coordinator manages inventory and supplies while maintaining cost effective measures to ensure the highest quality of patient care in a well-managed Center. The coordinator oversees and manages, medical supplies, and other materials for the center to ensure all supplies and equipment are present for procedures.
Accountable To: Director of Nursing/Center Supervisor/Center Manager
Responsibilities:
Materials Coordinator duties will consist of, but are not limited to:

Purchase and maintain inventory levels of all supplies. Daily checks with stocking the Center in its entirety.

Oversee receiving of all supplies.

Oversee stocking of new deliveries (supplies and equipment).

Interact with vendors and sales representatives to ensure open communication with all equipment needs.

Ensure disposal of all boxes and shipping materials in appropriate and timely manner.

Create and maintain an area for all equipment manuals.

Schedule biannual equipment checks and maintenance service on all equipment and maintain a logbook.
- Create and maintain a manual that lists names, numbers, and contacts for all service and maintenance companies.

Works closely with clinical staff to identify supply requests, evaluate costs, and suggest and compare alternatives.

Procure and return special instruments and supplies needed for all cases.

Maintain and update HST/inventory software as needed.

Assist in all other functions as a surgical technician (if applicable) and all other duties in the ORs.

Must file an incident report for any unusual event that occurs to a patient or member of staff; this would include, but not be limited to, falls, needle stick injuries, aspiration of gastric contents, allergic reactions, and disruptive behavior by staff or patients. Also required to report any incidences or alleged incidences of abuse, harassment, or injury to self, other employees, or patients occurring at the Center or relating to the Center. Further specifications can be found in the Abuse Reporting documents and Code of Safe Practices, provided by the Director of Nursing.

Qualifications:

High school diploma or equivalent.

Must possess knowledge of supplies and equipment.

Must possess knowledge of proper cleaning technique per the Center’s policies and procedures.

Must have full understanding of the English language, both verbal and written.
- Strong communication skills (both written and verbal; long distance and in-person).

Proficient in Windows, MS Office, and database management software.
- Experience and familiarity with ambulatory surgery terminology and purchasing desired.

Experience with data analysis and performing cost comparison in Excel is highly desired.

Experience with contract negotiation and networking.

Strong attention to detail.
- Self-starter: ability to push projects to completion with minimal oversight or instruction.

Ability to work both individually and collaboratively with a team.
