The Dispatch Manager is responsible for overseeing and coordinating all dispatch operations related to the distribution and delivery of petroleum products such as gasoline, diesel, and other fuels. This role provides direct leadership to Dispatchers, ensuring that scheduling, inventory coordination, safety compliance, and communication processes run efficiently, accurately, and in compliance with regulatory standards. The Dispatch Manager serves as the escalation point for operational issues and plays a key role in optimizing delivery performance, customer satisfaction, and safety outcomes.
Responsibilities
Leadership & Supervision
- Supervise, coach, and mentor Dispatchers to ensure consistent performance and adherence to company standards.
- Assign workloads, monitor productivity, and ensure proper coverage for dispatch operations.
- Provide training and guidance on dispatch procedures, safety requirements, and system usage.
- Conduct performance evaluations and support disciplinary actions as needed.
Dispatch Operations & Scheduling
- Oversee daily scheduling and logistics to ensure timely and efficient delivery of petroleum products.
- Review and approve dispatch plans, routes, and adjustments to optimize efficiency and minimize disruptions.
- Serve as the primary escalation point for dispatch-related issues, including delays, route changes, or customer concerns.
Inventory & Supply Coordination
- Monitor inventory levels in coordination with Dispatchers to ensure adequate supply for scheduled deliveries.
- Work closely with terminals, suppliers, and internal teams to prevent shortages or overages.
- Identify trends or risks related to demand fluctuations and proactively plan solutions.
Safety & Compliance
- Ensure all dispatch and transportation activities comply with DOT, environmental, and hazardous materials regulations.
- Reinforce safe work practices and adherence to company safety policies.
- Investigate and report incidents, near-misses, or compliance concerns as required.
Communication & Collaboration
- Act as a central point of communication between dispatch staff, drivers, terminal operators, customers, and management.
- Resolve customer or driver concerns related to scheduling, delivery issues, or product discrepancies.
- Provide regular operational updates and reporting to management.
Documentation & Reporting
- Ensure accurate and timely documentation of shipments, product quantities, delivery locations, and dispatch records.
- Review dispatcher documentation for accuracy and completeness.
- Analyze dispatch data to identify opportunities for efficiency improvements and cost control.
Problem Solving & Continuous Improvement
- Address operational disruptions quickly to maintain service levels.
- Identify process improvements and implement best practices to enhance dispatch operations.
- Support system upgrades or procedural changes related to dispatch and logistics.
Requirements
- Ability to sit for extended periods while monitoring dispatch operations.
- Ability to operate a computer efficiently for long periods.
- Ability to lift at least 20+ pounds when necessary.
- Strong oral and written communication skills.
- Prior dispatch, logistics, or petroleum operations experience preferred.
- Previous supervisory or leadership experience strongly preferred.
