Position Summary

You will be the central link between awarded government contracts, our supply base, and the production floor. From the moment an order is received, you’ll ensure it is entered accurately, suppliers are engaged, materials are sourced, and the job flows smoothly through fabrication and final shipment. This role combines contract fulfillment responsibilities with hands-on procurement support, requiring strong organization, communication, and follow-through. You’ll work directly with suppliers to secure pricing, expedite materials, resolve discrepancies, and ensure compliance with government and aerospace requirements.

This is a growth-focused role. You’ll collaborate with project managers, suppliers, engineering, and corporate leadership to keep jobs moving, costs controlled, and quality assured.


Key Responsibilities

Contract Fulfillment & Data Accuracy

  • Accurately enter contract and RMA details into the ERP system with zero-error standards.
  • Review awarded contracts, create product templates, route sheets, and production orders.
  • Track orders through production, processing, and packaging, ensuring deadlines and requirements are met.
  • Submit receiving reports and invoices in Wide Area Workflow (WAWF) and resolve acceptance/rejection issues quickly.

Procurement & Supplier Coordination

  • Request quotes and secure purchase orders for raw materials, outside processing, and consumables.
  • Negotiate lead times, delivery schedules, and cost adjustments with suppliers.
  • Monitor vendor performance and escalate risks to project managers when deadlines or quality are at risk.
  • Manage open purchase orders, expedite materials, and resolve shortages or discrepancies proactively.
  • Support sourcing new vendors in line with AS9100, ISO9001 and ITAR compliance standards.

Reporting & Communication

  • Maintain clean and organized digital records of pricing, ECDs, supplier quotes, and contract activity.
  • Generate and distribute status, backlog, and fulfillment accuracy reports.
  • Provide timely updates to project managers, suppliers, and government customers.
  • Uphold data integrity and ITAR-controlled information protocols.

Required Knowledge, Skills & Abilities

  • Systems: ERP order-entry and purchasing modules; MS Excel (vlookups, pivot tables, formulas).
  • Procurement: Basic negotiation skills, vendor follow-up, and ability to evaluate multiple quotes.
  • Government Portals: Familiarity with WAWF (or ability to master quickly). Knowledge of government FAR/DFARS clauses and post-award procedures.
  • Communication: Professional written and verbal communication with internal teams, suppliers, and customers.
  • Organization: Ability to manage multiple contracts and supplier interactions simultaneously.

Education & Experience

  • A high school diploma or GED is required, and business administration or supply chain coursework is a plus.
  • Minimum 3 years’ experience in fulfillment, procurement, purchasing, or government contract support (aerospace/manufacturing preferred).
