Position Overview

The Full-Charge Bookkeeper will own the day-to-day financial operations of the business, including bookkeeping, billing, collections, payroll coordination, benefits administration support, and monthly financial reporting.

This is a hands-on individual contributor role reporting directly to the Managing Director. The right candidate will bring strong attention to detail, financial discipline, and the ability to operate independently in a growing business environment.

Key Responsibilities

Accounting & Bookkeeping

  • Manage all day-to-day accounting in QuickBooks Online
  • Maintain general ledger accuracy
  • Perform bank and credit card reconciliations
  • Track deferred revenue and project-based income
  • Calculate and report franchise fees
  • Ensure proper expense categorization and documentation
  • Support monthly close process and financial statement preparation

Billing & Collections

  • Generate accurate client invoices
  • Coordinate billing schedules tied to training delivery and contracts
  • Manage unique billing arrangements, including special invoicing procedures for certain clients and programs
  • Monitor accounts receivable
  • Proactively follow up on outstanding invoices
  • Communicate professionally with client finance departments
  • Support cash flow visibility and collections discipline

Payroll & Benefits Administration

  • Process and reconcile payroll through ADP
  • Manage SIMPLE IRA contributions
  • Oversee health insurance deductions and payments
  • Track PTO and compensation adjustments
  • Maintain employee compensation and benefits records

Coordination & Reporting

  • Prepare monthly financial reports for the Managing Director
  • Support budgeting and cash flow tracking
  • Coordinate financial reporting requirements with other Dale Carnegie locations
  • Ensure compliance with NJ and federal requirements
  • Work with external CPA for tax filings and year-end documentation

Process Improvement

  • Improve financial systems and internal controls
  • Document accounting procedures
  • Identify efficiencies in billing, collections, and reporting

Qualifications

  • 5+ years of bookkeeping or accounting experience
  • Experience as a full-charge bookkeeper preferred
  • Strong proficiency in QuickBooks Online
  • Experience with ADP payroll systems
  • Strong billing and collections experience required
  • Working knowledge of basic GAAP principles and financial reporting
  • Comfortable working directly with leadership
  • High attention to detail and accountability
  • Ability to operate independently
