Full Charge Bookkeeper / Controller – Multi-Company Operation (Hybrid – Appleton, WI)

Company Overview
We are a fast-growing group of four companies based in Appleton, Wisconsin: three established home-service businesses (plumbing & HVAC) and one digital marketing agency + coaching program. Together we deliver exceptional service to customers across the Fox Valley while scaling smartly. We’re looking for a detail-obsessed financial professional to own our books end-to-end and give us rock-solid, penny-perfect financials every month.

The Role
This is a true full-charge bookkeeping role with controller-level ownership. You will be the single point of accountability for all financial recording, reconciliation, and reporting across our four QuickBooks Online companies. No bureaucracy, no layers — just you running a tight ship so our owners always know exactly where we stand.

Key Responsibilities

  • Own weekly bank, credit card, and payment reconciliations for all four entities
  • Export and post daily invoices from our CRM systems into the correct QuickBooks Online files
  • Maintain clean, accurate chart of accounts and month-end close processes
  • Prepare and file monthly sales tax returns and make timely payments
  • Ensure every revenue and expense transaction is properly coded and traceable
  • Deliver accurate, easy-to-read monthly P&L and balance sheet reports
  • Identify and implement process improvements to keep our financials audit-ready at all times

What You Bring
Required

  • 4+ years of full-charge bookkeeping or accounting experience
  • Expert-level proficiency in QuickBooks Online (multiple company files)
  • Strong experience with bank/credit card reconciliations and multi-entity accounting
  • Extreme attention to detail — you take pride in getting every penny right
  • Ability to work independently and proactively “own” the numbers

Nice-to-Haves

  • Experience with ServiceTitan or similar home-service CRMs
  • Background in service-based or multi-location businesses
  • Familiarity with sales tax filing for Wisconsin businesses

Work Arrangement
We are seeking someone local to the Appleton / Fox Valley area. The role is primarily remote-friendly, but you will come into our Appleton office as needed (typically 1–2 days per month for bank deposits, document pickup, or team alignment). Must be able to reliably commute to Appleton when required.
