Job Summary

Join our dynamic administrative team as a detail-oriented and experienced Bookkeeper. This critical role supports both our IVVH Primary Care and IVVH Emergency & Critical Care facilities, requiring a minimum of three years of general bookkeeping experience and one year of verified full-charge bookkeeping responsibilities. This position is on-site only to meet company needs and is not eligible for remote work.

The ideal candidate will possess a strong background in accounting and bookkeeping, with expertise in managing financial records, reconciling accounts, and utilizing various accounting software. As a bookkeeper, you will play a vital role in maintaining accurate financial data, supporting our operational efficiency, and ensuring compliance with accounting standards.

Key Responsibilities:

  • Maintain accurate and up-to-date financial records using accounting software such as QuickBooks Online or similar platforms.
  • Keep financial records and documentation organized digitally using Google Workspace applications.
  • Perform bookkeeping functions in Quickbooks Online; document sourcing, transaction validations, vendor and check setups.
  • Validate and track accounts receivable (AR) and accounts payable (AP), ensuring accurate records, timely payments and collections.
  • Generate and analyze PIMS (Practice Information Management System) reports forearnings validation and financial analysis.
  • Prepare journal entries for various financial transactions while ensuring adherence to GAAP (Generally Accepted Accounting Principles).
  • Perform full bank and credit card reconciliations
  • Reconcile general ledger accounts regularly to verify accuracy and completeness of financial data.
  • Support budgeting activities by analyzing financial data and preparing reports for management review.
  • Conduct account analysis and balance sheet reconciliation to maintain the integrity of financial statements.
  • Track and remit sales tax on applicable retail product sales
  • Assist with payroll processing, including reviewing wages, deductions, and tax filings when applicable.
  • Assist with resolving client invoicing discrepancies, processing client refunds, resolving chargeback claims, and coordinating with various payment method vendors and platforms.
  • Provide administrative support for financial projects and initiatives, including preparing reports and documentation for audits.
  • Coordinate and initiate communications with external financial professionals
  • Perform clerical duties such as filing, emailing, copying, scanning, organizing, and meeting note-taking.

Core Accounting & Technical Skills:

  • Full-Charge Bookkeeping: Expertise in general ledger, double-entry bookkeeping, journal entries, account reconciliation, and account analysis.
  • Compliance & Reporting: Strong knowledge of managerial and corporate accounting principles and GAAP standards, with excellent attention to detail in financial report writing and record-keeping.
  • Software Proficiency: Proficient in QuickBooks (or similar) accounting software.
  • Data Entry: Ability to perform efficient 10-key data entry.
  • Preferred: Prior experience with payroll processing and tax compliance.

Qualifications & Experience:

  • Certification (Preferred): QuickBooks Pro Advisor or Pro Advisor Advanced certification.
  • Education (Preferred): College degree or coursework in Accounting, Finance, or Bookkeeping.
  • Industry Experience (Preferred): Experience working within a veterinary or animal care setting.
