Full Time Dental Front Desk Coordinator

Job Overview
We are seeking an energetic and detail-oriented Full Time Dental Front Desk Coordinator to join our dynamic dental team. In this vital role, you will be the first point of contact for patients, ensuring a smooth and welcoming experience from appointment scheduling to check-in and check-out. Your proactive approach will help streamline office operations, manage patient flow, and support the delivery of exceptional dental care. Responsibilities

  • Greet patients warmly and professionally, creating a positive first impression
  • Schedule appointments accurately using dental practice management software such as Mogo Dental
  • Verify insurance coverage, perform insurance eligibility checks, and handle insurance claims processing using systems like Vyne Trellis
  • Manage patient check-in and check-out procedures efficiently while maintaining confidentiality in accordance with HIPAA regulations
  • Collect payments, process medical billing, and handle collections related to dental services
  • Maintain accurate and organized dental records, including documentation review and filing of medical records
  • Answer multi-line phone systems with excellent phone etiquette, addressing patient inquiries promptly
  • Assist with medical administrative support tasks such as data entry, appointment reminders, and care plan documentation
  • Ensure compliance with HIPAA standards and proper handling of health information management practices
  • Support clinic operations by coordinating with clinical staff for patient intake and scheduling

Requirements

  • Proven experience in a dental office or medical front desk role, with strong knowledge of dental terminology and medical coding including CPT, ICD-9/10 codes
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel) and clinic management software
  • Excellent customer service skills combined with professional phone etiquette and clear communication abilities
  • Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail
  • Knowledge of insurance verification processes, medical billing, ICD coding, and documentation review procedures
  • Bilingual abilities are highly preferred to serve diverse patient populations effectively
  • Strong organizational skills with experience managing medical records, filing systems, and health information management practices
  • Prior clinic or hospital experience is advantageous; familiarity with HIPAA compliance is essential
