About Cal Backflow
Cal Backflow is a licensed backflow testing and repair company serving water districts across San Diego County. We work with property owners, HOAs, commercial facilities, and contractors to keep water systems safe and compliant. Our small, tight-knit team takes pride in doing the job right — and we’re growing.
We’re looking for a sharp, self-directed Office Manager / General Manager to run the day-to-day operations of our business remotely. This is a high-trust, high-ownership role. The Role
You’ll be the operational backbone of Cal Backflow — handling everything from customer calls to compliance filings to technician support. The owner will remain available for big decisions and specialized work, but this role is designed to take the day-to-day off his plate entirely.
This is a remote position. You’ll be expected to manage your own schedule, communicate clearly, and operate independently. San Diego County familiarity is a plus but not required.
What You’ll Own
Customer Relations
- Answer inbound calls and emails, qualify new customers, and collect billing info
- Follow up on time-sensitive jobs (failed tests, active water shutoffs) within the same business day
- Notify customers of test results and send invoices via QuickBooks Online
- Maintain professional, friendly communication with repeat and new customers alike
Scheduling & Dispatch
- Schedule all backflow testing and repair jobs using our backflow database and Google Calendar
- Route technicians geographically to minimize drive time and maximize daily job count
- Match job type to the right technician based on skill set and availability
- Send daily job lists to technicians via email at end of each workday
Compliance
- Track and renew technician certifications, city business licenses, and state/county registrations on time
- Submit monthly pesticide use reports to the County of San Diego Agricultural Commissioner
- Flag upcoming renewal deadlines proactively with enough lead time to avoid lapses
Data Submission
- Pull completed test results from Syncta and submit to the appropriate water district portal (SwiftComply, ECOS Connect, BSI Online, or paper mail)
- Know which of the 16+ districts we serve uses which portal and meet each district’s submission deadlines
- Maintain zero backlog — tests should be submitted within days of completion
Invoicing & Accounting
- Invoice customers in QuickBooks Online immediately after job completion
- Apply correct pricing: $85 standard test, $20 filing fee for select districts, $180 fire backflow
- Bill to the correct legal entity (property owner, management company, etc.)
- Run weekly bank reconciliation, match mobile deposits, and monitor accounts receivable aging
- Run bi-weekly payroll (automated — just verify and approve)
Technician Support
- Conduct bi-weekly supply check-ins with technicians and reorder truck stock proactively
- Source parts and supplies online (eBay, masterbuildermercantile.com, Amazon) — we don’t rely on expensive local suppliers
- Coordinate repair estimates, parts orders, and re-test scheduling for failed backflow tests
Compensation & Benefits
- $80,000 – $100,000 base salary depending on experience
- Annual performance bonus up to 10% of base salary, tied to on-time submissions, invoicing speed, AR health, and compliance record

What We’re Looking For
Required
- 2+ years in an office manager, operations, or administrative role
- Experience with QuickBooks Online (invoicing, reconciliation, AR)
- Strong written communication — you’ll be the voice of the company to customers
- Highly organized, detail-oriented, and able to manage multiple priorities independently
- Comfortable learning industry-specific software and portals
Nice to Have
- Experience in a field service, trades, or utilities business
- Familiarity with San Diego water districts or backflow compliance
- Experience with Syncta or similar field service management tools
- Background in bookkeeping or accounting support
