What we’re looking for:
We are seeking a detail-oriented General Services Assistant to support the effective coordination of administrative and logistical activities within a dynamic multinational environment. The role is responsible for ensuring the smooth execution of day-to-day office operations, supporting vendor-related services, and assisting with transportation and logistical arrangements when required.
The position plays an important role in maintaining operational continuity by facilitating the timely handling of office-related services, documentation, and deliveries, while proactively coordinating with internal stakeholders and external service providers. This role contributes to ensuring an efficient, well-organized, and professional working environment that supports overall business operations.
Key Responsibilities:

Perform daily administrative and logistical duties within and outside the office (e.g., document handling, mail and courier processing, inventory tracking, and meeting arrangements).

Provide transportation support for company executives and guests for city-wide and occasional out-of-city travel, ensuring safety and punctuality.

Monitor and coordinate scheduled maintenance, servicing, and cleanliness of company vehicles.

Assist with the receipt, storage, and distribution of office supplies, stationery, and delivered goods.

Support the coordination of office maintenance activities by liaising with relevant vendors and service providers.

Assist in managing tasks related to company-leased accommodations, including supply follow-up, cleaning services, and logistics.

Maintain logs, records, and documentation related to general services, vehicle usage, and inventory.

Ensure proper utilization of office space and facilities, reporting any maintenance or technical issues in a timely manner.

Collaborate with executive assistants in planning and supporting meetings, visits, and travel logistics.

Assist with small purchasing tasks and basic procurement activities for daily operational needs.

Coordinate logistical arrangements for deliveries, schedules, and internal service needs in a timely and cost-effective manner.

Monitor vendor service delivery and report any service-related issues when necessary.

Support communication and delivery of official documents to and from external institutions when required.

Work collaboratively across departments and provide courteous, professional support to employees and visitors.

Undertake other duties as assigned to ensure smooth daily office operations.
Knowledge, Skills and Abilities:

An Associate or Bachelor's degree is preferred; relevant vocational qualifications may also be considered.

At least 2–3 years of experience in administrative services, logistics coordination, general services, or similar support roles.

Valid B-class driver’s license and active driving experience.

Proven driving experience with safe driving habits and professional conduct.

Good command of English (spoken and written), sufficient to communicate effectively with international colleagues and guests.

Strong organizational and time management skills.

Basic knowledge of vehicle maintenance and traffic regulations.

Strong communication skills, professional attitude, and attention to detail.

Working knowledge of MS Office (Word, Excel, Outlook).

Ability to perform physical tasks when required (e.g., handling supplies, room setup).

Flexibility to adapt to operational needs.

Experience in a corporate or multinational environment is an advantage.

Familiarity with facilities coordination or vendor follow-up is a plus.
