Grant Accountant

Position Title: Grant Accountant – Full-Time

Work Location: Red Lake Nation College – Minneapolis Campus

Department: Business Office Director of Finance

Classification: Exempt June 2026

PRIMARY FUNCTIONS

The Grant Accountant at Red Lake Nation College is responsible for the full lifecycle of grant financial management, including grant setup, budget maintenance, expense review, reporting, compliance monitoring, and audit support. This position ensures accurate allocation of expenses to grants, maintains financial integrity across all sponsored programs, and collaborates closely with Principal Investigators (PIs), Sponsored Programs, Student Accounts, and external partners. The role also supports student financial aid accounting and contributes to institutional financial operations. This position requires strong attention to detail, excellent communication skills, and a commitment to supporting RLNC’s mission through accurate, transparent, and compliant financial stewardship.

ESSENTIAL RESPONSIBILITIES

1. Grant Management & Compliance

● Maintain the institutional grant list, including adding new awards, updating budgets, and inactivating closed grants.

● Ensure proper naming conventions, grantor setup, and constituent records in NetSuite.

● Maintain and update grant budgets, ensuring correct versions and alignment with reporting requirements.

● Maintain Cost Category and Expense Category records to support accurate grant coding and indirect cost allocation.

● Review Purchase Orders and Bills for correct grant assignment and compliance with grant budgets.

● Ensure all Bills—not POs or Bill Payments—are tagged with the correct grant for accurate reporting.

● Work with PIs to confirm allowable expenses and reallocate misassigned charges as needed.

2. Grant Reporting

● Prepare quarterly and annual grant expense reports.

● Consolidate reports across systems and review with PIs to ensure accuracy and completeness.

● Submit reports to the Director of Finance for approval and/or drawdown processing.

● Provide finalized reports to PIs for submission to grantors.

3. Salary & Personnel Cost Allocation

● Coordinate with ADP representatives to implement automated personnel expense allocation by grant.

● Until automation is complete, manually allocate salary, employer taxes, and benefits to grants using spreadsheets.

● Ensure allocations align with grant budgets and reporting requirements.

4. Financial Operations Support

● Assist with purchasing approvals and grant assignment checks.

● Support the Director of Finance with reconciliations, reporting, and compliance tasks.

● Maintain accurate and organized financial documentation across shared drives and NetSuite.

EXPERIENCE / JOB REQUIREMENTS

● Strong skills in accounting software, spreadsheets, and Microsoft Office Suite.

● High attention to detail, accuracy, and documentation.

● Ability to work independently and take initiative.

● Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.

● Strong organizational, written, and verbal communication skills.

● Ability to work collaboratively with PIs, finance staff, auditors, and external partners.

● Ability to work effectively under pressure and maintain confidentiality of sensitive information.

EDUCATION / QUALIFICATIONS

● Bachelor’s degree in Accounting, Finance, or related field required.

● Minimum of 0–2 years of experience in grant accounting, nonprofit accounting, or federal/state grant compliance preferred.

● Experience in higher education or tribal college financial operations preferred.

● Familiarity with federal grant regulations (e.g., 2 CFR 200) preferred.

● Experience preparing SEFA reports or supporting annual audits is a plus.

● Proficiency with NetSuite, QuickBooks, ADP, Campus Ivy, and Google Workspace—or willingness to learn.

LICENSES AND OTHER REQUIREMENTS

● Must pass a pre-employment criminal background check.

● Must pass a pre-employment drug and alcohol test.

● Valid MN driver’s license required; some travel to Red Lake Site may be needed.

COMPENSATION:

Competitive salary ranges of $58,000–$68,000, based on education, experience, and grant management expertise.

This position follows the Red Lake Tribal Member and Indian Preference Policy.
