Grant Administrator Consultant
Job Summary
The Newark Public Library seeks a highly organized and detail-oriented Grant Administrator Consultant to oversee all aspects of grant management, from proposal development and budgeting to compliance and reporting. The ideal candidate will work under the Assistant Director of Development, and work closely with the Executive Director of the Library, Finance Team, and Library Board, to ensure the Newark Public Library remains compliant with grant terms and effectively utilizes funding to support its mission.
Duties and Responsibilities
- Manages grants from start to finish, maintain organized and up-to-date files of all grants, including attachments, deliverables, reports, and budgets.
- Meet with Development and Finance Department to discuss collecting all open grants to create a calendar of scheduled reporting and meet all deadlines
- Manage all grant agreements, ensuring all terms and conditions are met, documented, and communicated across relevant departments.
- Establish and track unique job numbers/grant memo for each grant to facilitate financial monitoring.
- Be seasoned in both Green and Blue SAGE
- Analyze expenditures against approved budgets on an ongoing basis; prepare and present budget variance and quarterly expenditure reports.
- Meet regularly with Assistant Development Director, Executive Director and Interim Assistant Director of Finance to review financial reports and progress.
- Maintain the Library’s primary grant calendar to ensure timely submissions, reporting, and reapplications.
- Monitor and track restricted revenue to ensure appropriate use and reporting.
- Collaborate with the Interim Controller and Assistant Director of Finance for update on the Library’s annual organizational budget and audits.
- Support planning, writing, program design, budget development, and evaluation of grant applications.
- Design and implement systems and procedures to ensure full compliance with all grant terms, conditions, and relevant regulations.
- Attend in some senior leadership meetings to provide updates and professional development opportunities.
- Perform other related duties as assigned.
Educational, Required Skills and Experience Requirements
- Bachelor’s degree in Business Management / or accounting or a related field with demonstrated knowledge of accounting principles.
- Minimum of four (5) years of experience in grant management, including public, private, and government grants.
- Strong budgeting and financial analysis skills; ability to monitor expenditures and prepare detailed reports.
- Proficiency in spreadsheet and word processing applications (preferably Microsoft Excel and Word).
- Knowledge of nonprofit financial practices and experience working in a nonprofit organization is preferred.
- Exceptional attention to detail with the ability to manage and organize multiple projects independently.
- Demonstrated ability to prioritize, meet deadlines, and follow through on tasks.
- Excellent written and verbal communication skills and strong interpersonal skills.
- Strong work ethic with a proactive approach to solving problems and improving processes.
- Must be detailed oriented in reviewing all documentation before submission and ensure all rules are followed
- The role will also include, on occasion, managing general solicitations, pledges, and other fundraising initiatives to support organizational goals.
- Partner with operational teams to track performance metrics, ensure KPIs are achieved, and drive successful delivery of grant-funded initiatives.
- Work closely with Finance to ensure all spending is correct
- Develop an ongoing relationship with Funders and attend on going seminars and workshops on grant funded programs
- Work closely with the Assistant Development Director to draft reports for the Board of Trustees and Leadership Team.
- Employment-at-will position structured as a one-year term, with potential adjustment based on Newark Public Library needs. This contract/non-permanent position which requires 30 hours a week at $50 an hour (Not to exceed 120 hours per month).
Residency Requirements
Residency in New Jersey is required within one year from date of hire per the New Jersey First Act.
Working Conditions
Saturday and evening hours may be required.
Salary:
$72,000 Annual
