Grant Coordinator and Executive Assistant

Overview
Susan G. Komen Puerto Rico is seeking an organized, detail-oriented, and proactive individual to provide administrative and operational support. This role combines administrative responsibilities with the coordination of our Grants and Assistance Programs. Combines the responsibilities of managing grant processes with providing comprehensive executive support to senior leadership. The selected candidate will play a key role in the daily operations of the organization and will contribute to maintaining an efficient office environment through excellent organizational skills and professional communication. We are seeking a dynamic and highly organized Grant Coordinator and Executive Assistant to join our team. Your energy and enthusiasm will help drive our mission forward while ensuring smooth daily operations and successful grant management.

Responsibilities

  • Manage office operations efficiently by overseeing filing systems, front desk duties, and office supply inventory using Microsoft Office and office management software.
  • Prepare accurate documents through proofreading, transcription, and document formatting to support organizational needs.
  • Utilize multi-line phone systems and maintain excellent phone etiquette; handle correspondence.
  • Organize, archive, and maintain physical and digital documents.
  • Prepare reports, letters, contracts, and other administrative documents.
  • Assist with bookkeeping tasks such as invoicing and record keeping.
  • Schedule appointments, manage calendars, and coordinate meetings for Executive Director. Schedule and coordinate meetings.
  • Assist with event planning for fundraising or community engagement events, managing logistics from venue booking to attendee communication and others.
  • Organize and facilitate educational workshops for organizations participating in the Assistance Program.
  • Receive, review, and track grant proposals.
  • Review mid-term and final reports from grantee organizations, ensuring compliance and proper use of funds.
  • Coordinate audits and site/event visits for grantees organizations.
  • Draft program-related reports.
  • Maintain confidentiality of sensitive information and adhere to company policies.

Education

  • Bachelor’s degree in office administration, major in Accounting or Finance or related field or similar.
  • Experience: 2+ years in similar roles or in nonprofit organizations - a plus.

Skills

  • Strong computer literacy across Microsoft Office Suite (Word, Excel, Outlook), and data entry platforms.
  • Proven experience as an executive administrative assistant or personal assistant supporting senior leadership in a professional setting.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication.
  • Ability to work as part of a team.
  • Strong proficiency in Microsoft Office and digital tools (Excel, Word)
  • Excellent typing speed and accuracy for data entry tasks
  • Effective proofreading skills to ensure error-free documents
  • Office management experience including calendar management and filing systems
  • Ability to handle clerical tasks such as data entry, filing, and document preparation with attention to detail
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment and work under pressure.

Availability

  • Must be available to attend events outside regular working hours

Transportation

  • Must have a car and a valid driver’s license. Must be able to travel to different locations across the Island.

Pay: $12.00 - $15.00 per hour

Expected hours: 40.0 per week
