Overview of Position

The organization is seeking a detail‑oriented and mission‑driven Grants Finance Manager to oversee financial operations, ensure strong fiscal stewardship, and support the effective management of grants and contracts. Currently, YCAP manages 5 major government grants along with approximately 5-10 smaller local grants. This role is ideal for someone who thrives in a collaborative environment, enjoys problem‑solving, and is committed to strengthening financial integrity across a growing nonprofit. The Grants Finance Manager is a key member of the finance team responsible for overseeing the financial management, compliance, and reporting of government and private grant funding. This role ensures that grant funds are managed in accordance with contractual and regulatory requirements, expenses are properly documented and reimbursed, and financial information is accurate, timely, and audit‑ready.

The Grants Finance Manager works closely with program leadership, senior management, the external bookkeeper, the Treasurer (occasionally) and external funders to monitor grant spending, prepare reimbursement requests, and resolve financial or compliance issues. This position plays a critical role in supporting the organization’s mission by ensuring strong fiscal stewardship, transparent reporting, and effective use of grant resources. This role is ideal for a professional with hands‑on experience in grant accounting who is comfortable interpreting funding agreements, managing multiple grants simultaneously, and serving as a financial point of contact for funders.

This position will review and interpret contracts, prepare vouchers, manage grant-related financial activity, book entries, and maintain the general ledger. The ideal candidate brings strong analytical skills, a commitment to compliance, and the ability to communicate financial information clearly to both finance and program teams.

Key Responsibilities

Grants Financial Management & Compliance

  • Review, interpret, and apply government and private grant agreements, contracts, and funding provisions to ensure accurate financial implementation and ongoing compliance.
  • Manage grant budgets across multiple funding sources, ensuring expenses are allowable, properly allocated, and aligned with grant terms.
  • Monitor grant spending, burn rates, and reimbursement timing; develop projections and forecasts to support program planning and cash flow management.
  • Ensure compliance with all grant‑related financial, regulatory, and reporting requirements.

Grant Accounting, Expenses & Reimbursements

  • Process and review grant‑related expenses, invoices, and journal entries in accordance with grant provisions and internal financial controls.
  • Prepare, compile, and submit grant vouchers and reimbursement requests, ensuring accuracy, completeness, and required supporting documentation.
  • Maintain detailed and well‑organized grant files to support audits, monitoring visits, and funder reviews.
  • Track receivables related to grant reimbursements and follow up as needed to ensure timely payment.

Funder & Stakeholder Communication

  • Serve as a primary financial point of contact for grantors and funders, responding to inquiries and resolving reimbursement, reporting, or compliance issues.
  • Collaborate closely with program staff to align program activities, spending, and reporting with grant requirements.
  • Communicate financial information clearly to internal and external stakeholders, including leadership, program teams, and funding partners.

Financial Oversight & Reporting

  • Develop and manage organizational and grant‑specific budgets in collaboration with program leadership and senior management.
  • Monitor budget performance and prepare regular financial reports for leadership, the Board of Directors, and funders.
  • Prepare grant financial reports, expenditure summaries, and budget modifications as required by funding agencies.
  • Support audit readiness by ensuring accurate general ledger entries, reconciliations, and grant documentation.

Risk Management & Internal Controls

  • Implement and maintain strong internal controls to safeguard organizational assets.
  • Identify financial risks and opportunities, recommending strategies to mitigate or leverage them.
  • Stay current on changes in financial regulations, accounting standards, and nonprofit best practices.

· Supervise fiscal contractors and provide guidance on grant accounting procedures and documentation standards.

· Participate in organizational planning, meetings, and special projects as assigned.

Team Leadership & Collaboration

  • Supervise fiscal contractor and collaborate with cross‑departmental teams to support organizational goals.
  • Provide training and guidance on financial systems, policies, and procedures.
  • Foster a culture of transparency, accountability, and fiscal responsibility.
  • Serve as liaison to the Board of Directors Finance Committee.
  • Perform additional duties as assigned by the Deputy Director and Executive Director.

Meetings & Special Projects

  • Participate in organizational meetings and provide financial support to the Executive Director and Deputy Director.
  • Develop strategic business plans informed by financial analysis and forecasting.
  • Advise the Accounting Team and leadership on financial decisions impacting the agency.

Qualifications

  • Achieved or Pursuing a Bachelor’s degree in Finance, Business, Accounting, governmental affairs or a related field required.
  • 1+ years of experience in nonprofit finance, grants management, or related roles.
  • Strong understanding of nonprofit accounting principles and grant compliance.
  • Proficiency with accounting software and Excel; experience with fund accounting system, FundEz is a plus.
  • Excellent analytical, organizational, and communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.

Pay: Up to $100,000.00 per year
