Grant Finance Manager

Position Summary

The Grants Finance Manager is responsible for overseeing the financial management, compliance, reporting, and monitoring of all grant-funded activities across the organization. This role ensures compliance with federal, state/local, corporate, and foundation grant requirements while supporting strong fiscal stewardship and operational excellence.

The Grants Finance Manager works collaboratively with Finance, Development, Payroll, Human Resources, and Program teams to ensure grant funds are properly administered, expenditures are allowable, and reporting requirements are met accurately and on time.

What You'll Do!

Grant Financial Management

  • Track, monitor, and report grant expenditure activities within the General Ledger.
  • Create, maintain, and review grant fund codes and related accounting structures.
  • Reconcile grant-related revenues and expenses to ensure accurate financial reporting.
  • Monitor grant spending against approved budgets and funding restrictions.
  • Prepare financial analyses and budget-to-actual reports for leadership and program teams.

Grant Compliance & Reporting

  • Review and track grant contracts, agreements, and award documents to ensure compliance with funding requirements.
  • Prepare and submit reimbursement requests, invoices, financial reports, and supporting documentation for reimbursable grants.
  • Maintain organized grant files and supporting documentation for audits, site visits, and monitoring reviews.
  • Ensure compliance with federal, state, local, corporate, and foundation grant regulations and reporting requirements.
  • Coordinate and maintain an updated schedule of grant reporting deadlines and deliverables in collaboration with grant writers and program leadership.

Payroll & Cost Allocation

  • Verify payroll expenses and personnel allocations related to grant-funded programs.
  • Coordinate with Payroll and Human Resources to ensure accurate time and effort reporting.
  • Ensure proper allocation methodologies are consistently applied and documented.

Budget Development & Financial Planning

  • Develop grant budgets for new funding proposals and renewals in partnership with program and development staff.
  • Provide financial guidance and analysis during grant application and renewal processes.
  • Assist leadership with forecasting and long-term planning for grant-funded programs.

Cross-Functional Collaboration

  • Communicate grant compliance requirements, allowable costs, and reporting expectations to departments across the organization.
  • Provide guidance and support to program staff regarding grant administration and financial compliance.
  • Partner with Development, Program Leadership, and Finance teams to support successful grant management.

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
  • Minimum of 3 years of nonprofit accounting and/or grant management experience required.
  • Experience with nonprofit accounting systems and General Ledger management required.
  • Experience managing federal and state grants strongly preferred.
  • Experience with accounting software Sage Intacct preferred.
  • Experience in healthcare, behavioral health, human services, or Federally Qualified Health Center (FQHC) environments preferred.
  • Experience with cost reimbursement grants and payroll allocations preferred
  • Strong knowledge of nonprofit accounting principles and restricted fund accounting.
  • Understanding of federal grant compliance regulations, including Uniform Guidance, preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail and ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Excel and financial reporting systems.
  • Ability to collaborate effectively with cross-functional teams.
