Overview
We are seeking a dynamic and detail-oriented Grants and Contracts Coordinator to join our team.The Grants and Contracts Coordinator manages the full lifecycle of a diverse portfolio of grants and contracts, including federal, state, city, private, and foundation funding sources.
This role oversees both pre-award and post-award activities, ensuring compliance with funder requirements, organizational policies, and regulatory standards. The coordinator plays a critical role in supporting programmatic growth, funding sustainability, and operational excellence across the organization. . Responsibilities
Key Responsibilities
Pre-Award (50%)
- Collaborate with Program and Development teams to develop and review:
- Grant proposals
- Service agreements and contracts
- Progress reports
- Prior approval requests and other sponsor deliverables
- Manage internal proposal requirements, establish timelines, and track submissions to ensure timely completion
- Review RFPs and sponsor terms and conditions for submission, acceptance, and award administration
- Partner with Legal to review and approve service agreements and contracts in accordance with internal approval policies
- Incorporate legal edits and manage agreement execution via DocuSign
- Support the Director of Programs in managing the RFP process from bid release to award
- Maintain and update support documentation, including:
- Service contracts and consultant agreements
- Gift acceptance policies
- Fund transfer memos
- Fiscal sponsorship letters
- Track in-kind donations and coordinate with Finance to ensure proper ledger recording
Post-Award (50%)
Award Setup
- Review and process incoming awards and modifications
- Ensure accuracy of grant setup details and budgets
Award Tracking, Monitoring & Reporting
- Track sponsor terms, deliverables, and due dates
- Partner with Finance to prepare Budget vs. Actual reports
- Support submission of financial deliverables to sponsors
Subcontracts
- Coordinate with subcontractors to ensure timely billing, payments, and renewals
- Draft amendments to agreements as needed
Budgeting & Compliance
- Assist with grant-related budget entries in the financial system
- Complete required training and attend relevant meetings to maintain knowledge of agency rules and regulations governing grants
- Provide additional administrative and financial support as assigned
Pay: $75,000.00 - $80,000.00 per year
